Printer Works From Your Phone but Not Your Windows PC

If your phone can print but Windows cannot, these careful checks can reconnect the PC without disturbing what already works.

What this strange problem usually means

Good news: a successful phone print suggests that the printer itself is working. The problem is more likely on the PC. Windows may be using the wrong printer, holding an old job in the print queue, or missing the software needed to communicate with your model.

These directions assume Windows 11. In Windows 10, the printer page is usually under Settings > Devices > Printers & scanners. Labels can vary slightly after a Windows update, but the destination is the same.

Start with the simple connection checks

Do not remove the printer yet. First, rule out the small problems that cause a surprising number of printing headaches.

1. Confirm that the printer's power light is on.
2. Check the printer screen for a paper, ink, toner, or error warning.
3. Confirm that the PC is connected to the same Wi-Fi network used by the printer.
4. Push each end of the USB cable firmly into place if this PC prints through a cable.
5. Restart the printer with its power button.
6. Restart the PC from Start > Power > Restart.

Make sure Windows is using the right printer

A default printer is the printer Windows chooses automatically. Your phone may be selecting the correct machine while the PC is sending documents to an old printer, a duplicate listing, or a virtual printer such as Microsoft Print to PDF.

1. Open Start > Settings > Bluetooth & devices > Printers & scanners.

Remove and reconnect the printer

If Windows still says Offline or refuses to print, its saved connection may be damaged. Removing this Windows listing does not erase the printer or stop your phone from using it.

1. Open Start > Settings > Bluetooth & devices > Printers & scanners.
2. Select the problem printer.
3. Select Remove.
4. Select Yes when Windows asks for confirmation.
5. Return to the Printers & scanners page.

If Windows cannot find the printer

Give Windows a few seconds to search. If nothing appears, use the manual setup option. Manual does not mean you need to be a computer expert; it simply opens a wizard that asks for more details.

A driver is the small piece of software that lets Windows speak your printer's language. If the printer remains missing, download the current Windows 11 driver for your exact model from the printer manufacturer's official website.

One special note: some newer Copilot+ PCs use an ARM-based processor. Microsoft recommends adding printers through Windows rather than relying on a manufacturer's installer when an ARM PC has installation trouble. You can check this under Settings > System > About, beside System type.

2. Choose the setup option that matches how your printer is connected.
3. Complete the Windows printer wizard one screen at a time.
