How to Automatically Back Up Files in Windows 11

Protect your documents and photos with OneDrive cloud backup, File History, or an external drive.

Why automatic backup matters

A backup is a separate copy of a file that you can recover if the original is deleted, damaged, encrypted by malware, or lost with your computer. Automatic backup is especially helpful because you do not have to remember to copy your files every week.

Windows 11 offers two straightforward choices for everyday use. OneDrive can protect selected folders online, while File History saves versions of your files to an external drive. For stronger protection, you can use both: OneDrive for convenient off-site storage and an external drive for a second copy at home.

Option 1: Back up folders with OneDrive

OneDrive is Microsoft's cloud storage service. Files stored there are uploaded to your Microsoft account and can be reached from another computer or the OneDrive website. A free account has limited storage, so check your available space before backing up a large photo collection.

The following steps assume a current version of Windows 11 and the OneDrive desktop app. Button names can change slightly after OneDrive updates.

  1. Click the OneDrive cloud icon near the clock. If you do not see it, click the small up arrow in the notification area or search for OneDrive from the Start menu.
  2. Sign in with your Microsoft account if OneDrive asks you to do so.
  3. Click the gear icon, choose Settings, and open Sync and backup.
  4. Select Manage backup.
  5. Turn on backup for the folders you want to protect. OneDrive commonly offers Desktop, Documents, and Pictures.
  6. Choose Start backup or Save changes, depending on the OneDrive version installed.
  7. Leave the computer connected to the internet while the first upload finishes. Click the cloud icon to check progress.

What to know about OneDrive

OneDrive continuously synchronizes, or "syncs," changes between your PC and the cloud. That means an edit made on one device normally appears on your other devices. Deleted files may also disappear from synced folders, although they can usually be recovered from the OneDrive Recycle Bin for a limited time. OneDrive also provides version history for many file types, letting you restore an earlier copy.

Watch the small status symbols in File Explorer. A green check means a file is available on the computer, while a cloud symbol usually means it is stored online and downloads when opened. OneDrive is convenient, but it should not be your only copy of irreplaceable family photos or important records.

Option 2: Use File History with an external drive

File History is a Windows feature that regularly saves copies of personal files to another drive. It can preserve older versions, which is useful if you accidentally overwrite a document. You will need a USB hard drive or solid-state drive with enough free space for your files.

Microsoft still provides File History in Windows 11, but its controls are in the older Control Panel rather than the main Settings app. The exact appearance may vary slightly by Windows 11 release.

  1. Connect the external drive to your computer.
  2. Open Start, type Control Panel, and open the matching result.
  3. Select System and Security, then File History. If Control Panel is showing icons instead of categories, select File History directly.
  4. If Windows has not selected the correct disk, choose Select drive on the left, select your external drive, and confirm your choice.
  5. Select Turn on. Windows will begin saving the folders included in File History.
  6. Choose Advanced settings to change how often copies are saved and how long older versions are kept.
  7. Choose Exclude folders if there is a folder you do not want copied.

Make sure your important folders are included

File History is designed mainly for standard personal locations such as Windows libraries and common folders. Keep important work in folders such as Documents, Pictures, Music, Videos, or Desktop rather than in an unusual location elsewhere on the drive. You can check what is available by opening File History and selecting Restore personal files.

If a custom folder is not being protected, the simplest beginner-friendly fix is to move it into Documents or Pictures. On some Windows 11 versions, you can also add a folder to a library through File Explorer's classic right-click menu, but that option is not shown on every system.

File History can only create new backups while the external drive is connected. You may leave a desktop backup drive plugged in, or reconnect a portable drive regularly. If you keep it disconnected for safety, set a weekly reminder so the backup does not become outdated.

How to restore a backed-up file

For a OneDrive file, sign in at OneDrive.com and check My files or the Recycle Bin. To retrieve an older version, right-click the file on the website and look for Version history.

For File History, connect the backup drive and open Control Panel. Go to System and Security, select File History, and choose Restore personal files. Browse through the saved folders, use the arrows to select a backup date, select the file or folder, and click the green restore button.

Test your setup after the first backup. Restore one unimportant file and open it. A backup is only dependable if you can successfully recover from it.

Bottom line

For the easiest setup, turn on OneDrive folder backup for Desktop, Documents, and Pictures. For better protection, also use File History with an external drive and reconnect it often enough to keep your backups current.
